Introduction
We attach great importance to protecting your privacy. When using the Coachview website, requesting information, and using the software itself, we sometimes ask for your personal data. We need this personal data to provide our services. Through this privacy statement, we would like to emphasize that we place a high value on the confidentiality and security of your data. We carefully protect your data against loss, misuse, or other unauthorized use, and we strictly comply with the laws and regulations that apply to us with regard to privacy. Within InnoPhase BV, the company behind Coachview, a privacy policy has been drawn up so it is clear to everyone how we handle your data. We describe this policy below.
What data do we need from you?
To request a no-obligation demo, we ask you to enter certain information about yourself and your organization: your name and contact details (such as email address and phone number). To use Coachview, you need an Account. As soon as we create it, we ask for certain information about you and your organization. In that form, some data is required, such as the organization name and billing address. You can always change these fields later. After entering this data, we automatically create an Administratie with a main user. In this Administratie, we store the data you provided when you created the Account, data you add later, and data that Coachview generates while you use our Service. Coachview processes and stores all data that you make public via the Service. This therefore also applies to submitted reports (bugs, improvement ideas, etc.). It is possible to delete your Account; reports posted in the designated application will remain. We do anonymize this data (where possible).
Automatically generated information
Coachview automatically collects automatically generated information about your browsing behavior when you use our Service. This information includes, among other things, your IP address and “cookies” with, among other things, preference settings. If we use this information at all, we always use it in anonymized form.
What do we do with your data?
We manage your data so we can properly provide our Service. Our employees are only given access to it via internal or customer authorization. We only grant internal Coachview authorization if access is needed to ensure the security or availability of the data (a technical reason), or to support you with specific issues or questions (helpdesk and support). External authorization is only possible with the customer’s consent. To optimize the Service, we keep data about your use of the application. We use your subscriber data to communicate with you via newsletters about new versions, invoices, etc.
How our employees handle (customer) data
Each employee is expected to carry out activities in accordance with the staff handbook and other rules, and to actively contribute to the implementation of this policy. In addition, Coachview applies a Clean Desk and Screen policy. After all, customer data must not be left unattended. If these rules are not complied with, our employees can anonymously report these violations via our information security reporting channel. Upon hiring, during employment, and in the event of dismissal, explicit attention is paid to employee reliability and to safeguarding the confidentiality of information. Coachview has taken measures to ensure that only authorized employees can use the information and communication facilities. We try to work as much as possible according to the need-to-know principle. This means employees only receive the rights they actually need to perform their work.
What does Coachview do about information security?
Coachview aims to demonstrably comply with the NEN-EN-ISO/IEC 27001:2023 standard as set by the National Cyber Security Centre (Nationaal Cyber Security Centrum, NSCS), in order to maintain the security of (customer) data. To strengthen this, Coachview is assessed each year against this standard by an independent party. Based on the findings and improvement points from this audit, an activity plan is drawn up periodically in which improvement measures are included. When we enter into collaborations with external parties, explicit attention is paid to information security. Agreements on this are recorded in writing and compliance is monitored. In doing so, we ensure that we meet our legal and contractual obligations.
Making your data public?
We never make the data you provide to us public on our own initiative. Nor will we ever sell it to third parties or exploit it in any way.
Data breaches
We do everything we can to protect data properly in Coachview. If it does happen that we have to deal with a data breach, we follow the procedures under the Wet Persoons Bescherming (Dutch personal data protection law). Data subjects are always informed. Where necessary, we report a data breach within the stipulated 24 hours.
Cookies and other techniques
Cookies are small references that are stored by the internet browser on the user’s PC. Their purpose is to speed up or improve the use of the internet. Coachview therefore also uses cookies. The use of cookies is now generally accepted. Good to know: if you accept a cookie, we do NOT gain access to your computer or other personal data. You can disable our cookies, but please note that some features within our application may no longer work properly.
Online knowledge sessions & Webinars
As a user of Coachview, we always try to help you further with Coachview. We do this through online knowledge sessions and webinars. These webinars are held via Microsoft Teams. Registration for these sessions is free and can be done via our Training portal. The sessions are also always made available in our Knowledge base. This way, users who couldn’t attend the session can still watch it afterwards. For this reason, sessions are always recorded. The recording is edited later so participants cannot be recognized on screen. Participants’ names are also never made public. Do you ask a question during a webinar or present a section? Then you become part of the recording that will be shared afterwards. At that point, we can no longer anonymize you. Do you not agree to this after all? Then you can lodge an objection in writing by emailing support@coachview.com. At this time, we try to accommodate you as best as possible in anonymizing, provided this does not detract from the quality of the recording.
Third-party sites
Coachview is of course not responsible for the content of websites of other companies that you may link our Service to. We therefore advise you, when visiting these other websites, to review the privacy statements of those companies.
Changing your data
You can always view and change the data you enter via our Service in our application.
Changes to this statement
We would like to point out that it may be necessary for us to make changes to this statement. If this happens, we will inform you via our website.
