Introduction

We attach great importance to protecting your privacy. When you use the Coachview website, request information, and use the software itself, we sometimes ask for your personal data. We need this data to be able to provide our services. With this privacy statement, we would like to emphasise that we hold the confidentiality and security of your data in high regard. We carefully protect your data against loss, misuse, or other unauthorised use, and we strictly comply with the laws and regulations that apply to us in the area of privacy. Within InnoPhase BV, the company behind Coachview, a privacy policy has been drawn up so it is clear to everyone how we handle your data. We describe this policy below

What data do we need from you?

To request a no-obligation demonstration, we ask you to fill in certain information about yourself and your organisation: your name and contact details we can reach you on (such as email address and phone number). To use Coachview, you need an Account. As soon as we create it, we ask for certain information about you and your organisation. In that form, some details are required, such as the organisation name and the billing address. You can always change these fields later. After you enter this information, we automatically create an Administratie with a primary user. In this administration, we store the data you provided when you created the Account, data you add later, and data that Coachview generates while you use our Dienst. Coachview processes and stores all data you make public via the Dienst. This therefore also applies to submitted reports (errors, improvement ideas, etc.). Deleting your Account is possible; reports posted in the designated application will remain. We do anonymise this data (where possible).

Automatically generated information

Coachview collects automatically generated information about your browsing behavior when you use our Dienst. This information includes your IP address and “cookies” with, among other things, preference settings. If we use this information at all, we always use it anonymised.

What do we do with your data?

We manage your data so we can properly perform our Dienst. Our employees are only granted access to it through internal or customer authorisation. We only grant internal Coachview authorisation if access is needed to ensure the security or availability of the data (a technical reason), or to support you with specific issues or questions (helpdesk and support). External authorisation is only possible with the customer’s permission. To optimise the Dienst, we keep data about your use of the application. We use your subscriber data to communicate with you via newsletters about new versions, invoices, etc.

Handling (customer) data by our employees

Every employee is expected to carry out activities in accordance with the staff handbook and other rules, and to actively contribute to implementing this policy. In addition, Coachview applies a Clean Desk and Clear Screen policy. Customer data must not be left unattended. If these rules are not complied with, such violations can be reported anonymously by our employees to our information security reporting point. During hiring, throughout employment, and in the event of dismissal, explicit attention is paid to employees’ reliability and to safeguarding the confidentiality of information. Coachview has implemented measures that ensure only authorised employees can use the information and communication facilities. We try to work as much as possible according to the need-to-know principle. This means employees are only granted the permissions they actually need to perform their work.

What does Coachview do about information security?

Coachview aims to demonstrably comply with the NEN-EN-ISO/IEC 27001:2023 standard as set by the Nationaal Cyber Security Centrum (NSCS), in order to maintain the security of (customer) data. To reinforce this, Coachview is assessed against this standard each year by an independent party. Based on the findings and improvement points from this audit, an action plan is periodically drawn up that includes improvement measures. When we enter into collaborations with external parties, explicit attention is paid to information security. Agreements on this are recorded in writing and compliance is monitored. In doing so, we ensure that we meet our legal and contractual obligations.

Making your data public?

We never make the data you provide to us public on our own initiative. Nor will we ever sell it to third parties or exploit it in any way.

Data breaches

We do everything we can to protect data properly in Coachview. If it should happen that we do have to deal with a data breach, we follow the procedures under the Wet Persoons Bescherming. Those involved are always informed. Where necessary, we report a data breach within the stated 24 hours.

Cookies and other techniques

Cookies are small references that are stored by the Internet browser on the user’s PC. Their purpose is to speed up or improve internet use. Coachview therefore also uses cookies. The use of cookies is generally accepted nowadays. Good to know: if you accept a cookie, we get no access to your computer or other personal data. You can disable our cookies, but please note that some functions within our application may no longer work properly.

Online knowledge sessions & Webinars

As a user of Coachview, we always try to help you further with Coachview. We do this through online knowledge sessions and webinars. These webinars are held via Microsoft Teams. Registration for these sessions is free and can be done via our Training portal. The sessions are also always made available in our Knowledge base. This allows users who could not attend the session to watch it afterwards. As a result, sessions are always recorded. The recording is later edited so participants cannot be recognised on screen. Participants’ names are also never made public. If you ask a question during a webinar or present a part, you become part of the recording that is shared afterwards. At that point, we can no longer anonymise you. If you do not agree to this, you can submit a written objection by emailing support@coachview.net. At this time, we try to accommodate you as well as possible in anonymising, provided this does not detract from the quality of the recording.

Third-party sites

Coachview is of course not responsible for the content of websites of other companies you may link our Dienst to. We therefore advise you, when visiting these other websites, to review those companies’ privacy statements.

Changing your data

You can always view and change the data you enter via our Dienst in our application.

Changes to this statement

We point out that it may be necessary for us to make changes to this statement. If this happens, we will inform you via our website.
