The 21st century requires highly educated professionals. Lifelong flexible learning comes first. Utrecht University of Applied Sciences therefore has post-higher professional education (non-degree education) as a strategic priority. This is how they shape their social role. “With the implementation of Coachview, we had control and control over registrations, courses and the financial administration within 1 year!”

Compared to regular education, more flexible processes are at play here that require specific implementation. Crucial from HU was the ability to integrate Coachview with their “Work and Study” website, the financial system and the student information and tracking system.

From manual work to an automated process

Two problems to solve

Utrecht University of Applied Sciences has a lot of experience in training working professionals. Every year, they train 25,000 students through part-time, dual higher professional education, masters and advanced courses. Each in a different phase of their career, all working on broadening and deepening knowledge and skills. To achieve this, each institute and faculty is continuously working on the quality of their services. This requires a lot of logistical support and a clear profiling of the offer.

We want to be in control of these processes, without losing sight of flexibility for the faculties and institutes. To optimize our business processes, we have therefore started 5 sub-projects, including business operations. The priorities for HU: working uniformly, working efficiently (operational excellence), customer friendliness, flexibility and professionalism. In short, gaining and maintaining more control and control over the administration of the non-degee courses.

Orienting and selecting

Utrecht University of Applied Sciences has taken a thorough approach to the selection process. The different systems used per faculty have been studied and demonstrated. The wishes were distilled from that. As a spider in the web, Coachview appeared to be the most compatible with this. They were able to optimize the entire logistical education process in a uniform way, while maintaining flexibility for the individual. The link with Osiris, the financial system and our website was also important.

We're just getting started

Implementation progress

When the final choice fell on Coachview, all users were immediately trained. Coachview uses the tactic of learning by doing. Through detailed work instructions, they were able to get started. In doing so, employees received support from two key users. They monitored the intended uniformity and efficiency gains. Successfully! Within six months, all the important logistical processes of more than 14 institutions related to non-degree education ran via Coachview. Of course, there are learning points. One of them was attention to the individual needs of end users. The system was able to handle them well, but at the cost of uniformity and efficiency. That is why we slowly abandoned the individual approach, so that Coachview became more widely applicable.

Uniformity and integration

Together with Coachview, HU has also made the billing process uniform and integrated it into the existing financial system. This has provided full insight and control over the financial flows. The last step in the process, connecting to the student information and tracking system, has also been realized. The goal was to get a grip and overview of non-degree education. It was realized in about a year. Here, all important logistical and administrative processes are optimally aligned and connected to all systems. A uniform, efficient and controllable organization of non-degree education is the result.
